The Certifications Scheduler/Planner plays a pivotal role in ensuring the efficient and effective scheduling of audits in alignment with company procedures. This position involves coordinating schedules, managing our calendars and providing exceptional customer service. It will collaborate closely with various departments and reports to the Operations Manager, developing plans that meet clients’ needs while maximizing resources.

Responsibilities:

  •  Schedule audits for clients as requested by program coordinators/assistants and following the lists downloaded from CU’s internal systems.
  • Insert all activities for each auditor into our systems, including travel days, reporting days, trainings, exams, sick days, and courses as requested. Ensure U.S. holidays, vacations, and non-availability days are updated regularly.
  • Assign report writing days for each client in auditors’ calendars in accordance with our parameters and procedures.
  • Follow up with clients regularly regarding audit dates, confirming, scheduling, or rescheduling as necessary. Contact clients via email and phone to coordinate dates, ensuring clear communication and confirmation of audit schedules.
  • Update our planning and accounting systems daily, ensuring all scheduling details are accurately logged. Maintain information in PowerBI, including updates on new and resigned clients.
  • Participate in biweekly meetings/calls with planning and certification teams to discuss schedules, challenges, and improvements.
  • Inform staff of any schedule or audit changes and notify clients promptly of any changes to audit dates.

Requirements:

  • Previous experience in logistics or scheduling.
  • High School or Bach. Degree
  • Bilingual – Fluent in English and Spanish is desired
  • We are looking for an organized person who is capable of multi-tasking.
  • Orientation and commitment to customer service.
