An exciting opportunity has arisen at Taguig, Philippines for ADMINISTRATION ASSISTANT.

As an Administrative Assistant, your main responsibility will be coordinating day-to-day administrative duties and various tasks which are requested by the management. You will provide support in executing administrative functions with Human Resource department, including managing petty cash, coordinating supply planning, and requisitions, scheduling trips, booking flights, supporting with visa applications, overseeing purchase processes, and executing a range of administrative functions to ensure smooth and efficient office administration.

Tasks and responsibilities

  • Organize and keeping safe of documents, such as contracts, permits, records, company admin forms and other confidential files
  • Monitor and coordinate with service providers for enrolment and renewal of post-paid plans, office Wi-Fi and other technical support services
  • Process the renewal and payment of business permits Annually/Quarterly
  • In-charge of contacting suppliers and submit proposals for approval
  • Organize and facilitate company events and activities in coordination with Admin Specialist, HR & Admin Manager and with other departments
  • In-charge of providing assistance in business travel requests such as processing of flight, transportation and accommodation booking. And any travel-related support as requested by the operations (visa application, travel insurance of local employees traveling abroad, and company visitors coming from abroad)
  • Process the shipment of samples, and certificates locally or abroad through company courier providers and provide assistance in any logistic related request
  • Ensure that retained laboratory samples are stored properly and disposed of properly
  • Conduct inventory of company assets and update the trackers monthly
  • Responsible for pantry and office supplies inventory and replenishment
  • Responsible for timely petty cash requests and liquidation, and ensure that the admin trackers in the Taguig office is updated in SharePoint
  • Accommodate visitors, phone calls and email inquiries
  • Perform other duties and tasks as assigned by the HR and Admin Manager in support of business operations

Requirements

  • Graduate in IT/ Computer Science/ Business Studies/ Administration/ Management/ Psychology or equivalent
  • Work experience of 1-2 years in administrative/clerical role or equivalent
  • Background and experience in processing business permits, basic HR tasks would be advantageous
  • Good communication skills in English both written and spoken
  • Proficient in MS Office (Excel, Word, PowerPoint)
  • Must be willing to work in Bonifacio Global City
  • Demonstrate high integrity in performing work
  • Ability to analyse and resolve problems, be accountable
  • Ability to multi-task and work in a fast-paced environment effectively
  • Creative and resourceful
  • Highly organized and keen on details
  • Mature, fast learner, and willing to be trained
